This Privacy Policy explains how Hire Science Inc., d/b/a Scale.jobs ("Scale.jobs," "we," "us," or "our") collects, uses, shares, and safeguards information about you when you use our websites, applications, extensions, and human‑plus‑AI job‑application services (collectively, the "Services").

This Privacy Policy is not a contract and does not create legal rights beyond those required by law; your use of the Services is governed by our Terms of Service.

2) Scope

This Policy applies to information we process about customers, end users, site visitors, and prospects in connection with the Services. It does not apply to information we process as a service provider/processor on behalf of enterprise clients under separate agreements or to third‑party websites not controlled by us.

3) Information We Collect

We collect information directly from you, automatically from your device and browser, and from third parties.

3.1 Information you provide

  • Account/Profile data: name, email, phone (optional), country/time zone, preferences.
  • Job‑search content: resumés/CVs, cover letters, work history, education, portfolio links, role/location targets, salary preferences, notes, and other fields you choose to include.
  • Credentials you authorize: login credentials, tokens, or delegated access to third‑party job boards, employer portals, or ATSs (see Section 9 – Credential Handling).
  • Communications: support requests, feedback, survey responses, chat transcripts, call recordings (where permitted), testimonials.
  • Payment: billing address and limited payment metadata (card payments are processed by our payment processors; we do not store full card numbers).

3.2 Information collected automatically

  • Usage data: activity within the app (clicks, pages, features used), application counts, success metrics, error logs.
  • Device/Technical: IP address, browser type/version, OS, device identifiers, language, referrer/UTM parameters.
  • Cookies & similar tech: identifiers stored on your browser/device (see Section 8 – Cookies).

3.3 Information from third parties

  • Third‑Party Platforms you connect: job boards, employer systems, ATSs (e.g., status of submissions, messages, interview schedules if available).
  • Vendors/Partners: analytics, anti‑fraud, payment processors.
  • Public sources: info available on public sites/profiles you link.

We do not intentionally collect sensitive government IDs unless you provide them within application materials. Do not upload information that is not necessary for your job search.

4) How We Use Information (Purposes & Legal Bases)

We process information for these purposes (with sample legal bases under GDPR/UK GDPR):

  • Provide the Services: create/maintain accounts, draft materials, log in and submit applications on your behalf, fulfill orders; (Contract).
  • Improve & develop: troubleshoot, analytics, research, quality assurance, train/evaluate models using de‑identified/aggregated data; (Legitimate interests/Consent where required).
  • Personalize: recommend roles, prompts, templates; (Legitimate interests/Consent).
  • Security & abuse prevention: detect/prevent fraud, spam, abuse, and unauthorized access; (Legitimate interests/Legal obligation).
  • Communications: transactional emails, service notices, changes to terms; (Contract/Legal obligation).
  • Marketing: newsletters, ads, and promotions; (Consent/Legitimate interests; opt‑out anytime).
  • Compliance: tax, accounting, law‑enforcement requests, regulatory requirements; (Legal obligation).

Where we rely on consent, you may withdraw it at any time (this will not affect processing already performed).

5) How We Share Information

We do not sell your personal information. We share information as follows:

  • Service providers (processors): hosting, storage, security, analytics, communications, payment processing, and AI infrastructure providers under contracts that limit their use to providing services to us.
  • Third‑Party Platforms you choose to connect: job boards, employer portals, ATSs, and similar services you authorize us to access or act upon.
  • Affiliates and business transfers: to our affiliates; and in a merger, acquisition, financing, or sale of assets.
  • Legal/disclosure: to comply with law, enforce our terms, protect rights, safety, and security, and respond to lawful requests.

We may publish de‑identified/aggregated statistics that do not reasonably identify you.

6) AI Assistance & Automated Decision‑Making

  • Assistive AI: We use AI systems to help draft resumés/letters and accelerate form‑filling based on your instructions. These systems may process text you provide. We apply technical and contractual safeguards with our AI vendors.
  • No hiring decisions by us: We do not make employment decisions about you. Employers or platforms may use their own algorithms; their policies apply.
  • Human review: You are responsible for reviewing outputs before submission. See Terms of Service for additional responsibilities and disclaimers.

7) Your Choices & Rights

7.1 Controls

  • Access/Update: update profile data in your account or contact us.
  • Delete: request deletion of specific content or your account.
  • Marketing: opt out via email footer or in settings.
  • Cookies: see Section 8 for preference tools.

7.2 GDPR/UK GDPR rights (where applicable)

You may request access, rectification, erasure, restriction, portability, and objection to processing. You also have the right to lodge a complaint with your local supervisory authority.

7.3 US State privacy rights

Residents of California, Virginia, Colorado, Connecticut, Utah, and other states with privacy laws may have rights to know/access, correct, delete, opt out of targeted advertising and certain profiling, and limit use/disclosure of sensitive personal information. We honor Global Privacy Control (GPC) signals for opt‑out of targeted advertising where required.

Requests can be made at [email protected]. If you use an authorized agent, we may require proof of authorization and verification of your identity. We will not discriminate against you for exercising your rights.

8) Cookies, Analytics, and Advertising

We use cookies and similar technologies to:

  • Essential: sign‑in, security, fraud prevention, remembering preferences.
  • Functional: performance, product features, feedback collection.
  • Analytics: usage measurement and diagnostics.
  • Advertising (optional): show or measure ads and referrals.

You can manage preferences via our cookie banner or your browser settings. Blocking cookies may limit functionality. Where required, we only set non‑essential cookies with your consent.

We respect Do Not Track to the extent required by law and honor GPC signals for relevant jurisdictions.

9) Credential Handling & Third‑Party Platforms

  • Storage: Credentials and tokens are stored using industry‑standard encryption and access controls.
  • Use: We use credentials only to act on your explicit instructions (e.g., to log in and submit applications on your behalf).
  • Limits: Some platforms restrict automation or shared access. Your use of those platforms is governed by their terms. If a platform flags or suspends access, we are not responsible.
  • 2FA/Passkeys: We recommend app‑based 2FA or delegated tokens. If you share one‑time codes, you consent to our use of them solely to complete authorized tasks.

10) Security

We employ reasonable administrative, technical, and physical safeguards designed to protect information (e.g., encryption in transit and at rest where feasible, least‑privilege access, monitoring). No method is 100% secure. If we learn of a Security Incident involving your personal information, we will notify you as required by law. See our Terms for additional commitments and liability limits.

11) Data Retention

We retain information for as long as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. Typical retention (subject to change):

  • Account data: while the account is active and for up to 24 months after closure (unless longer retention is required by law or you request deletion).
  • Job‑search content & outputs: for the subscription term and up to 24 months after, unless you request earlier deletion.
  • Credentials/tokens: until you revoke or delete them, or your account is closed; short‑term logs may persist in backups for limited periods.
  • Billing records: at least 7 years for tax/audit.
  • Analytics logs: 12–24 months.

12) International Data Transfers

If you are outside the United States, your information may be transferred to, stored in, or processed in the United States and India (our primary hosting regions) and other countries with different data protection laws. Where required, we use appropriate safeguards—such as the EU Standard Contractual Clauses (SCCs) and the UK IDTA/Addendum—for transfers from the EEA/UK/Switzerland to the United States and India.

13) Children's Privacy

The Services are not intended for individuals under 16 and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact [email protected] and we will take appropriate steps to delete it.

14) Third‑Party Sites & Services

Our Services may link to or integrate with third‑party sites and platforms that we do not control. Their privacy practices govern their services; we are not responsible for their policies.

15) Changes to This Policy

We may update this Policy from time to time. Material changes will be notified through the Services or by email with a reasonable advance notice where required. Your continued use after the effective date constitutes acceptance.
